Hours: 35 hours per week

Location: Home-based, able to travel to London for meetings

Reports to: James Ford and Sam Williams

Your key responsibilities

  1. Developing the Barley team: supporting recruitment, onboarding and learning and development.
  2. Supporting client work: supporting onboarding of new clients and production of client reports.
  3. Organising Barley colleagues: arranging meetings, travel and accommodation.
  4. Business development: supporting new business activity and marketing.

How it will work

Developing the Barley team

  • Support the development of job frameworks for new hires
  • Advertise new hires and freelance opportunities
  • Conduct initial review of applications received and recommend long list for review
  • Book interviews with job candidates
  • Draft employment and freelance contracts for new team members
  • Maintaining team database
  • Coordinate onboarding of new team members, checking in with relevant team members to ensure all steps are completed
  • Set up email accounts for new colleagues
  • Develop and communicate Barley processes
  • Develop and maintain Barley’s learning and development offer
  • Alert the Barley team to new learning and development opportunities
  • Book and handle invitations to team learning and development opportunities, including lunch and learns and guests at B-Hive
  • Arrange birthday cards and other ad hoc gifts and rewards for team members as requested by the Partners

Supporting client work

  • Coordinate onboarding of new clients, checking in with relevant team members to ensure all steps are completed
  • Set up email distribution groups and Sharepoint sites as required
  • Compile accurate and timely client coverage reports
  • Support the production of high-quality evaluation reports
  • Support Barley colleagues with ad hoc research requests
  • Manage licences and subscription services – administering logins, providing monthly cost information for processing and handling annual renewals

Supporting Barley colleagues

  • Research, recommend and book Barley team meetings, client meetings and social events
  • Handle meeting and event invitations and logistics
  • Research and book travel and accommodation for team members
  • Attending meetings and note-taking
  • Communicate monthly capacity planning to colleagues

Business development

  • Support the production of high-quality credentials, proposals, tender and pitch documents and presentations
  • Compile and maintain a database of relevant industry awards and schedule team time to ensure entry deadlines are met
  • Maintaining contact database
  • Manage the process of B-Corp accreditation
  • Update the Barley website for new clients, case studies, team members and news
  • Support the implementation of Barley brand guidelines and style guide
  • Coordinate the Barley blog, liaising with team members and external contributors to ensure a regular flow of content

If there are particular opportunities that you introduce to the business, you will receive 10% of the client’s first year fee and details of this arrangement will be set out in your contract.

Skills, approach and experience


  • Minimum 2 years’ experience in a similar role
  • Expert in Office 365 products – SharePoint, Outlook, Teams, Word, Excel and PowerPoint
  • Excellent communication skills, including strong written and spoken English
  • Good eye for design and presentation
  • Highly organised, able to manage multiple projects and deliver to deadlines
  • Committed to quality and attention to detail
  • Positive and proactive, with ‘can do’ approach to problem solving
  • Aligned with Barley’s mission, vision and values


  • Experience of working in an agency setting
  • Experience of updating WordPress websites
  • Experience of handling B-Corp accreditation
